Job Description

Large Government Department is seeking an experienced Project Coordinator. You will be responsible for supporting a Procurement project team to ensure timely and effective engagement, monitoring, evaluation, analysis and reporting in line with established project governance and methodology.

Responsibilities:

  • Assist in coordinating, monitoring, and reporting of all project and governance activities, negotiating with work streams and stakeholders to ensure updates are completed within the agreed timelines, methodologies and frameworks.
  • Support and assist in communication and engagement with key stakeholders and coordinate activities of project teams, vendor teams, working groups, committees and consultations to facilitate exchange of information, capture agreed outcomes and support project delivery.
  • Be a primary point of contact for the project team and provide guidance, feedback, and direction to complement and enhance engagement and delivery activities.
  • Develop and maintain project documentation, plans and reports, ensuring timely updates and contributions to the project budget, forecasting, change/risk/issue registers, project schedule and financial reporting.
  • Support timely and accurate development of project governance and delivery presentation material, slide packs, briefs and reports.
  • Support organising, running, and documenting of meetings and workshops to capture input and outcomes from multiple stakeholders and across business units.
  • Support coordination of the end-to-end testing process from requirements to UAT sign off.
  • Support analysis and documentation of benefits realisation across project activities.
  • Support and contribute to the Change Management Team process and activities.
  • Utilise Office365, SAP and other systems to facilitate, complement and enhance project monitoring, reporting and delivery.

Essential Requirements:

  • Demonstrated engagement, communication and organisation skills working within a PMO structure supporting multiple project and vendor teams across varied locations and time zones.
  • Experience in a high-volume Finance or Procurement environment within large organisations.
  • Experience supporting project management and implementation, including engaging with the team to develop, monitor and maintain project documentation, including budgets, forecasting, schedules, and change / risk / issue registers.
  • Willingness to assist and support others as required and ability to effectively engage with stakeholder teams at all levels of the organisation.
  • Demonstrated ability to work autonomously, effectively balance competing demands and effectively resolve to challenges with a positive attitude.
  • Ability to communicate clearly and concisely, varying communication style to suit the audience.
  • Well-developed analytical skills, and able to source information from numerous resources in a timely and effective manner.

Additionally, the following would be desirable:

  • Experience in SAP and / or Software-as-a-Service projects.
  • Relevant qualifications and/or experience in Project Management, Procurement or Finance.
